Engineering is responsible for building and maintaining the majority of Metra’s fixed assets, such as buildings, stations, bridges, track, electrical, telecommunications and signal systems. The Engineering Department also monitors the condition of and assists in building and maintaining the fixed assets on the freight lines where Metra trains operate. The Engineering Department is divided into two major groups: Capital Projects, and Communications and Maintenance.

Reporting to the Office Manager-Building Ops, this position assists in performing a variety of clerical and administrative functions in support of the management and operations of Metra’s Headquarters located at 547 W. Jackson. This is Partially Exempt Position. Receive invoices for services provided by contractors; review for completeness, accuracy, and supporting documentation; and contact vendors to reconcile discrepancies. Enter invoices in Microsoft AX, monitor the life cycle of the invoice to ensure timely processing, and work with Accounts Payable to resolve issues. Create work orders for building service requests, forward to the appropriate personnel, follow up to ensure work is completed, update work order information in the database, and close out requests. Maintain databases of service requests, maintenance activities, expenditures, and vendor activity; and prepare reports. Draft documents including general correspondence, building notices, bulletins, and responses to emails. Employees may perform other related duties as assigned to meet the ongoing needs of the organization.

Requirements
High school diploma or GED. Some college preferred.
In addition to #1, must have (3) years of a business, office administration, or contract administration experience.
Knowledge of office protocols.
Knowledge of building or property management.
Knowledge of procurement processes.
Knowledge of contract compliance principles.
Good math and analytical skills.
Good customer service skills.
Good organizational skills.
Good verbal and written communications skills.
Must be proficient in Microsoft Office, specifically Excel, Word, and Outlook.
Ability to type 45 wpm.
Ability to multi-task and prioritize assignments.
Ability to work under minimal supervision.
Ability to maintain confidentiality.
Ability to read, understand, interpret contract documents.
Ability to work in a fast paced, stressful, time sensitive environment.
Ability to lift and move up to 10 pounds.
Preferences:

Experience using Microsoft AX or ERP systems preferred.
